Change Healthcare ECG Onboarding Guide

This article reviews the onboarding process for Change Healthcare’s new ECG Platform to be used to submit claims directly from MacPractice for MEDICAL claims only. Dental is not configured or back online per CHC.

Requirements to use CHC Services

There are two requirements for using Change Healthcare services going forward:

  1. You must be running MacPractice Build 15.18.7 at minimum. If you haven’t already updated, please do so at your earliest convenience. If you do not have this build released to your office, please contact MacPractice Support for assistance at updates@macpractice.com.

  2. Change Healthcare is requiring that offices provide a secure, whitelisted IP Address for your network. Due to this need, your office will need to ensure that there is a Static WAN address. 

    1. A Static WAN (or Static IP) is a fixed IP address assigned by an Internet Service Provider that will not be dynamically changed. This is necessary to ensure that this whitelisted IP address for your network does not change after being provided to Change Healthcare.

To sign up for Change Healthcare if you haven’t already, you’ll need to reach out to sales@macpractice.com or (646) 305-9008. They will discuss the specifics and share any necessary forms needed to sign up for Change Healthcare.

After contacting Sales and initiating the process, Change Healthcare will begin to set up your ECG Account. This will take up to 10 business days.

Steps to Follow After Your ECG Account is Created

Once your account is created, CHC will pass on account credentials to the MacPractice Enrollments team, and we will get in touch with your office after receiving those account credentials to set up your template and provide you relevant information from Change Healthcare regarding the ECG Portal.

If you have not signed up for an alternate clearinghouse, your enrollments information from the previous Change Healthcare integration should carry over to the new platform so you shouldn’t have to re-enroll with your payers.

If you have signed up with an alternate clearinghouse and completed payer Claim or ERA enrollments with them, you will need to complete new enrollments with Change Healthcare for any affected payers.

You can re-initiate your payer enrollments by navigating to the Quick Reference Guide > Billing Provider Enrollment Form on the ECG Portal.

You’ll need to complete the following steps to begin to submit to Change Healthcare.

  1. You must be running MacPractice Build 15.18.6 at minimum.

  2. You will need to configure the eClaims template to point towards the right host address. You can do this by navigating to the eClaims Ability, selecting the “ProxyMed” template as shown in the image below, and clicking the gear in the upper right hand corner:

If you’ve renamed your ProxyMed template, you’ll select that new name instead. Common custom template names include: CHC, Capario, and potentially reference to your office name.

Once the gear icon has been clicked, you’ll see an additional window with several fields. You’ll want to make sure that the Submission URL, Submission Location, and Retrieval Locations match the screenshot below:

  • Your Username and Password will be the credentials that the MacPractice Enrollments team provides you.

  • Submission URL for Change Healthcare/ECG will be:

ecgpe.healthtechnologygroup.com
  • Submission Location - claims/

  • Retrieval Locations:

    • Reports: reports/

    • ERAs: era/

  • Leave the Public Key Authentication checkbox unchecked.

After Configuring the Template

Once you’ve configured the template in the previous step, you should be ready to submit claims by clicking the Send button.

Claims that were created back in Febuary, if untouched and not submitted via another method, can be rebuilt and submitted.

If you sent claims via an alternative clearinghouse, please consult with that clearinghouse or payer to confirm how these claims were processed.

Re-Enrolling for Payers

  • If your office has not enrolled in another Claims Clearinghouse during the CHC outage, Change Healthcare should have rolled over all previous enrollments to your new CHC account.

  • However, if you have signed up for another clearinghouse and are transitioning back to Change Healthcare, you will need to re-enroll your billing entity back with Change Healthcare.

We recommend downloading a local copy of this sheet and opening it up in a separate program, as the preview does not display well on this site. You can do this by clicking the file and then clicking the “download” button in the upper right hand corner of the preview.

Instructions on how to fill out this sheet are included on the “Instructions” tab of this spreadsheet. Complete the form to the best of your ability. Once you’ve filled out this form and followed the provided instructions, you’ll send one copy per billing provider to RPA Provider Enrollment at rpaproviderenrollment@optum.com.

Payer ID List

You can find an up to date copy of Change Healthcare’s Payer ID List at the following URL.

There will be multiple Payer Lists available; you’ll be downloading the “RPA (Revenue Performance Advisor) Claims & Remittance Payer List. Please see the screenshot for reference:

Even if you used Change Healthcare previously, we definitely advise re-confirming that the Payer IDs you have currently listed in MacPractice’s Insurance Company Reference match this list. You can review the Insurance Company reference information here:
