Immunization References (Build 10 and earlier)

In December 2016, MacPractice made some changes to the way Immunizations are entered to comply with new government standards. Please check with State Registries to ensure that all local requirements are met.

The Immunization Reference is where all of the Immunization information in the database is stored.

MacPractice maintains a Reference Concept database. Utilizing information from the CDC, this RefCon database is a list of every Immunization recognized. It is also where the status of Active, Inactive, or Never Active is determined.

Existing Immunizations in the database should be codified to the RefCon database to match government standards.

Add a new reference by clicking the green plus in the sidebar. This will bring up a popup window with every Immunization within the RefCon database. Select the Immunization that should be added to the database.

Once information is entered into the fields for an Immunization, those fields will automatically populate any time the Immunization is used in the future. This will not affect any Immunizations that are already applied.

References may be removed by highlighting the Immunization and clicking the red minus. A pop up menu will appear prompting the user to Delete, Cancel, or Archive. If an Immunization is tied to a patient, the record may only be archived and not deleted.

Immunization Name
This is the name of the Immunization. Duplicate names may exist within the database.

Status
This signifies if the Immunization is Active, Inactive (for historical purposes only), or Never Active in the RefCon database.

Codify
In order to assure consistency with the government standards, Immunizations must be codified to the RefCon database.

Open

This button exists for any Immunization that isn’t currently tied to the RefCon database. Clicking this button will produce a popup window with each item in the RefCon database. Select the appropriate Immunization and hit the OK button. This will sync the Reference to the RefCon and will replace information in the Reference with the appropriate RefCon information. Once codified, the Codify button will no longer appear.

If the Immunization has been used in the past, the past instances will not be changed.

Short DescriptionThe Short Description is one of the common abbreviations for the immunization, the Immunization to be searched in the Clinical Tab of the Patients Ability. (The description must be from RefCon in order to be searched.)

CVX CodeThis is the standard code that the CDC uses to identify the Immunization.

ManufacturerThe creator of the immunization that will be administered.

CPT CodeThis is the code entered in the Charge Window to charge the patient for the Immunization.

Once codified, clicking on the CPT Code field will bring up any applicable charges that exist in the database. Selecting the CPT code will assign the Immunization to that CPT code.

Route CodeThe route through which the immunization will be administered, such as Intravenous, Dental, Inhalation, and so on.

RxNorm CodeRxNorm codes are a UMLS regulated code set. This is where the RxNorm code for the Immunization will be entered.

National Drug CodeThe NDC is an identifier assigned to the Immunization from the Manufacturer. If clicking on the this brings up an empty pop up, select a different manufacturer.

DoseThe immunization dose.

UnitThe immunization unit. (MacPractice recommends using mL for units, unless the immunization registry specifically requires a different unit. Each registry may have different requirements for data submission, so please check with the registry if they require any additional information than what MacPractice requires. MacPractice is set up based on the CDC's basic data requirements, but each registry may have stricter requirements.)

RouteThe route through which the immunization will be administered, such as Intravenous, Dental, Inhalation, and so on.

SiteThe site through which the immunization will be administered, such as Left Arm, Chest Tube, Nebulized, and so on.

Lot NumberThe immunization lot number.

Expiration DateThe date on which the immunization expires.

Number in SeriesIf multiple immunizations are entered, this designates in which number this immunization falls in the series.

Recommended AgeThis is the recommended age bracket for X to Y Months for when Immunizations should be administered to children.

VIS Published DateThe date on which the VIS (Vaccine Information Statement) was published.

Vaccine Grouping by CVX CodeA variety of vaccines can be used to vaccinate against a specific disease. Multiple individual vaccines that can be used to vaccinate against a disease are grouped into a Vaccine Group, and in many cases these groups represent vaccines that vaccinate against a single disease.

This is the code that MacPractice uses to populate the VIS data in the patient immunization data.
