Updating Caveats

!! If you have AutoRemind, Please be Aware:

With this update, there are some changes with our software and our integration with AutoRemind to allow for continued service. With these changes, AutoRemind will need to install their new Satellite Application and generate a specific secure password for your office for their installation! We have included AutoRemind in this email so they are aware of your update status, so that they may follow up with you.  We also have included their contact information below so that you may proactively work with them to ensure there is limited disruption, if any, to your AutoRemind services.

AutoRemind Phone: 800-277-1299

AutoRemind Email: support@autoremind.us

!! If you have TSYS, Please be Aware:

We are preparing to schedule these updates one at a time and have added your office to the list to contact when we are ready. CC'd on this email is TSYS@macpractice.com, which will be your main contact email going forward for this process.

Before we can release the update to your office, there are some important steps you will need to complete to prepare for the new TSYS integration. Please read the following thoroughly and reply all with questions.

  1. The MacPractice update may require changes to your current hardware configuration in order to meet and be supported by our System Requirements. At the bottom of this email, we have included the system requirements for this update, which will need to be confirmed by a representative with your office before we can proceed. You can confirm that you meet requirements by responding to this email.

  2. This integration requires a domain to be registered within MacPractice. The immediate purpose of this domain will be to act as a handshake between MacPractice and TSYS for secure card entry but in the future, this domain could be potentially used for online patient payments, a new patient portal and/or a web/mobile interface with limited capabilities for employees to log into MacPractice. What we will need from you is to know whether you would like to register a new domain or subdomain within MacPractice. A subdomain of your existing domain will require that you confirm with your domain registrar that they support subdomain delegation through our registrar, ClouDNS. Registering a domain or subdomain within MacPractice will be at no cost to your office. Let us know what you prefer to do here.

  3. You will need to ensure that your router is configured to open ports 80 and 443 and forwarding them to ports 26691 and 26692 respectively to your MacPractice Server. MacPractice recommends that this configuration is done by an experienced IT professional; however, should you want to configure port forwarding yourself you may access instructions on the manufacturer’s website for your router.

  4. In advance of your update, we will need your Merchant ID.  Please confirm your Merchant ID with TSYS. We will also need to know which email address you would like activation emails and recurring payment decline/partial approval emails to go to. You can choose the same email address or different email addresses for this.

All steps above must be completed prior to scheduling your update. Reply to TSYS@macpractice.com schedule a date/time to get your office updated, domain registered with MacPractice, TSYS account switched to the new gateway and get information on how to use your new TSYS integration! TSYS requires a 24-hour advanced notice of a scheduled upgrade so they can have everything switched and ready before our call.

A backup must be completed before our scheduled update time.

After updating to 7.3, run the Accounting Migration Report. While running the Account Migration Report, review the System Requirements for Build 12 and Build 11. Review the MacOS line, and determine which OS your system can update to. Then, reply to the Update email you received, and let them know which update you’d like to stair-step to, and the status of the Account Migration Report. We will then release 11.17 or 12.5 to your office.

After updating to 11.17/12.5, be sure you are able to log into MacPractice on the server computer. Then review the Build 13 System Requirements above, reply to the Update email again confirming your office meets these requirements, and we will release 13 to your office as the final update in this process.

Lastly and very important, Build 14 has a new Server Management App. This is a separate application from MacPractice which will need to be set up after you update to Build 14 prior to logging into MacPractice.

**Please note that each of the computers in your office must be on a compatible macOS prior to installing these builds of MacPractice (It is not necessary for all computers to be on the same version of macOS)**

If your office is unable to preform the update to 4/5/6 > 7.3 > 11.17/12.5 > 13, please email Support@MacPractice.com, and we can coordinate an in-house update.

Updating Caveats

 **Additional Update Information, Please Review:
  • Be sure to verify any Third-Party Compatibility prior to updating your OS. You may need to contact the third-party software company directly.

  • Offices using TSYS and build 12.11 and older will need to contact TSYS@macpractice.com in order to schedule your update and migration of your TSYS platform in order for you to continue processing credit cards with TSYS. If you are updating 12.21+ and have already performed the TSYS conversion, you do not need to reach out.

  • Offices using PLANMECA will require a Driver update after updating the OS to Catalina/Big Sur and MacPractice Build 13. Please contact Planmeca at 630-529-2300 and have them assist you with running the update BEFORElogging into MacPractice.

  • Acteon is not currently compatible with M1 Chips. If you have a machine you plan to use for imaging with Acteon, please ensure that it is not an M1 machine at this time.

  • AUTHPAYX will not be compatible with Catalina/Big Sur and MacPractice Build 13. If your office is using AuthPayX for credit card processing in MacPractice, please contact MPSales@MacPractice.com to switch to our new Credit Card Integration, TSYS.

  • The iPhone/iPad Interfaces will not work on macOS Big Sur and newer. We will need to migrate the office to MacPractice Go, please email Support@MacPractice.com for instructions.

  • **If you are updating from an earlier build of MacPractice, please be aware that MacPractice Build 12.5 will require a backup during the installation and cannot be skipped.

Important Note: The MacPractice Apps (iEHR, Clipboard, Check-In) are no longer available in the App Store for Build 13! Offices with Apps will need to request Build 14 in order to utilize the Apps.

!! If you have TSYS, Please be Aware:

You will need to update your MacPractice to build 13.11 and to update your TSYS Integration.

 12.21 Update Confirmation (SMA)

Subject: Ticket # Build 12.21 Update

Hello!

We have released 12.21 to your office today. Feel free to review the Release Notes before updating. This build has a new Server Management App. This is a separate application from MacPractice which will need to be set up after you update prior to logging into MacPractice and removes the requirement to run the script for Catalina. We have also updated the patient selector in MacPractice! Check out the video here!!

Also, please feel free to visit the our Update Guide on the MacPractice HelpDesk for step-by-step instructions. If you plan on moving your Server to another computer, visit our Migrating Server article as well.

Before Updating - Please Read
Before you update to this new build, it is EXTREMELY IMPORTANT that you read the information below. You need to ensure the following information is applicable to your office prior to the update and if it is not, please do NOT update and reach out to support@macpractice.com to let us know! This information should have been reviewed with a support representative, but it is important that you review this again.

  1. Please make sure you have a current backup.

  2. Currently only one (1) user can be set up. We recommend making an administrator level user for the Server Management App, that could be used by anyone who would need to start the server.

  3. You can only use one (1) MacPractice database. During your initial setup when creating a database, you will want to select an Existing Database from the drop-down menu then continue on. When entering your serial number, you will need to manually capitalize the letters to ensure proper validation occurs.

  4. If the application sits idle for 5 minutes, due to security you will be prompted with an error stating Unauthorized. Please log in again. This will take you back to the login page. Additionally, you will be prompted to log in again if you reload or refresh the screen.

  5. After initial setup (should you ever need to), when you click Stop and then click the Restart Server button, please allow for at least a 3-minute load time on all processes in the new Server Management Application to ensure everything starts as expected.
