How to Use the iEHR App

The iEHR Application is used to manage clinical documentation and patient forms, such as patient intake forms and general clinical history forms. This app is intended to be used by a Provider User to help them manage their appointments and review their forms at a glance. The iEHR App also provide access to a patient's Clinical Chart.

This article will help guide a user through the functionality of the iEHR Application. 

Custom Templates: Purchased custom forms and do it yourself forms.

Schedule View

When you first log into the iEHR App, you'll be presented with the Schedule View. This will by default start on the My Appointments Tab, which will show the scheduled appointments on today's date for the provider user signed in. You can adjust the date by tapping the date field by "Showing Appointments For" at the top of the Schedule View.

For each appointment, you'll see the scheduled appointment time, the name and patient id for the patient in question, and the Appointment Type and Status underneath the patient's name. Below this, you'll see all the recently updated forms for this patient.

If you need access to an appointment made for a different Provider, you can check these by tapping the All Appointments Tab.

You can pull up a patient that doesn't have an appointment scheduled by using the Patient Search Tab, which will bring up a search interface to pull a specific patient in the MacPractice database.

You can also access recently used forms via the Recent Forms Tab. This tab can be set to display unlocked forms, locked forms, forms that were modified on a specific date, and you can control whether the forms displayed have been modified by the user or by everyone.

If you tap the Question Mark button, this will bring up a few additional options, including one for Preferences. Preferences only contains one option to set, the Default History Start Date.

We'll cover the rest of the Question Mark menu later in the article.

Tapping a patient record will pull that patient's information up in the Patient View, which is detailed further in this article.

If you ever need to refresh the Schedule View, you can tap and hold the top of the page and then drag downwards until you see "Release to refresh appointments" at the top.

Locked Records

If a patient's record is currently open on another copy of the iEHR App or in the MacPractice software, the appointment record will display the eye icon along with the Username locking the record.

If you tap the locked appointment, the Patient Locked notification will display the Username and the IP address to the connection where the patient is locked. Until the patient record is no longer accessed by this connection, the patient record can be viewed in Read Only mode. No changes can be made until the patient is unlocked.

You can opt to forcibly Unlock the record, but this may cause changes made by either your user or the other user viewing the record to be lost, so it is best to only unlock records as a last resort if you are certain the other user has completed their changes.

Printing Records

You can print a summary of the information in the Patient Demographics Tab by tapping the  button. This will bring up a Printer Options window where you can select the printer, indicate how many copies you'd like to print, and see a preview of what will be printed.

Patient View and the Incident Tab

When you tap a patient in the Schedule View, you'll be taken to the Patient View for the Patient you tapped/selected. You'll first land on the Incident Tab (represented on the left hand side with a + icon) , where you'll first be presented with a list of the patient's incidents and any forms associated with the patient. You can tap a completed form (marked with an !) to either view the narrative of a completed form or tie a form to an incident.

You can also add a new Incident by tapping the "Tap to Add Incident..." line at the top. If you'd rather insert a form into a specific incident, you can tap the "Add Form to Incident" line underneath each present Incident.

The tabs on the left will allow you to navigate between sections in the Patient View. If you ever need to return to the Incident View, you'll tap the Plus Tab.

Within a particular Tab, you can utilize the Navigation Menu button  to quickly jump to a specific place via the Jump to Section menu. This works in all Tabs in the Patient View.

Alerts

At the top of the Patient View in the Patient Demographics or Clinical Chart Tabs, you'll see Alerts represented as a line item at the top line with a triangle, as shown in the below screenshot:

Patient Alerts will show as a yellow line with a yellow triangle. Account Alerts will show as a green line with a green triangle. Clinical Decision Alerts will show as a red line with a red triangle. You can tap the Alert line(s) to hide the Alert, or you can tap the Triangle at the top by the Schedule button to hide or show the alerts.

You can tap a Clinical Decision Rule Alert to respond in the resulting Clinical Decision Rule section. Once a response has been selected, tap the Save button. The Clinical Decision Rule Alert will then display in blue to signal that a response has been made.

The first Tab  contains a patient's Demographic information. This includes the Patient's Basic Information, Contact Information, Race, and Insurance details. Tapping any field allows you to edit it, with the exception of the Insurance fields, which must be entered into the MacPractice software and cannot be edited on an iPad. You can also tap the photo image in the upper right hand corner to take or replace a photo for the patient, using the iPad camera.

You can drag up and down to scroll through the available fields, or tap the Navigation Menu button to jump to a particular section.

If you make any changes and need to undo them, you can tap the Undo  button at the top of the Patient View to revert the changes. Likewise, if you accidentally tapped the undo button, you can revert the Undo via the Redo  button.

Clinical Chart Tab

The second tab contains the patient's Clinical Chart information. This matches the Clinical Ability in MacPractice and the subsequent widgets. For more information on the Clinical Ability in MacPractice, click here.

 

The information presented in the iEHR App's Clinical Chart Tab is read only, meaning you will be unable to add any additional information from the iPad. If changes to a patient's Clinical Chart need to occur, they must be done on the MacPractice Application on a Mac.

You can adjust the date range of the displayed information by tapping the date range fields at the top of the Clinical Chart Tab.

It  is important to note when accessing Attachments in the Clinical Chart Tab, that you can only view Attachments of 5 MB and less. Larger attachments will need to be viewed in the MacPractice software.

Template Tab

After the initial three tabs, any additional tabs will be dedicated to any open forms for this patient. You can open a form by tapping one on the Incident View.

The Template Tab will allow you to edit the fields that have been added to that Form Template as designed in the MacPractice EHR Ability.

Form Options Menu

If you tap and hold a Template Tab, a Form Options menu will pop up with several options available that you can select:

  • View Narrative displays the Narrative for the current form.

  • Narrative History is a hierarchical menu item from which a Narrative History sub-menu will display. Select any result to view the template as it appeared on the listed date and time, or tap the Snapshot button to create a new snapshot of the narrative.

  • Lock permanently locks the form so that it is no longer editable. The M icon will be replaced with the lock icon, and only Annotations will be available in the Section Header menu (accessible through the inspector (i) icon).

  • Archive will archive the form, stowing the form away once you're done actively using it. If you ever need to unarchive a form, navigate to the File Menu > Retrieve Archive > EHR Patient Form.

  • Close Without Save closes the form without saving data to the template.

Section Headers

Each Section in a Form Template is highlighted by a blue bar across the header of the Section, conveniently named the Section Header. You can tap, double tap, and tap and hold to interact with the Section Header:

  • Tap once on the Section Header to toggle the Narrative View for the Section in question.

  • Double Tap on the section header or tap the triangle on the left margin of the Section Header to collapse or expand the section.

  • Tap and hold the Section Header or tap the Inspector (i) icon on the section to access the Section Options Menu, which can be used to Add Annotations, Show on Narrative, Save, or Clear Section.

The Section Options Menu contains the following options:

  • Add Annotation: Tapping the Add Annotation option will open up a text field where you can add additional notes to a particular Form Section. This can be used to clarify a particular answer, or add any relevant information. You can add as many annotations as necessary.
    Annotations cannot be edited or deleted, but they can be crossed out by tapping them. They will be marked with the date the annotation was made, along with the provider user who has added the annotation, as shown in this image below:

  • Show on Narrative: This toggle allows you to hide or show the Narrative of this Section whenever you view the Narrative View of a form. You can tell if a particular Section's Narrative has been hidden by the grey dot that will appear in the right margin of a Section Header, as shown in the image below:

  • Save: This option will save the current Section if any changes have been made to the section fields.

  • Clear Section: The Clear Section option will clear any saved changes made to this Section. If a change hasn't been saved yet, this will not clear any entered information.

Pull Data Button

On the right margin of a Section Header, you'll see an icon  to Pull Data forward from previously filled out forms from the same template.

Question Mark Button / Getting Support

In most views of the iEHR App, you can tap the Question Mark icon  in the upper right corner to bring up an additional menu as shown in the below screenshot:

  • Preferences: The Preferences section contains the ability to adjust the Default History Search Date, which controls what is displayed for the patient by default in the Clinical Chart View when you select a patient.

  • Help: The Help option will pull up our HelpDesk resources to assist you with any questions you may have.

  • Submit Ticket: By selecting Submit Ticket, a window will appear allowing you to create a Support Ticket to address a problem or submit a suggestion you may have with the App or MacPractice Software. You'll need to provide a short description of the problem or suggestion, along with an e-mail or phone number that you can be reached by, as shown in the below screenshot.

  • Acknowledgements: This option will bring up the Legal page on HelpDesk which contains information regarding the third party licenses utilized by our products.

  • Log Out: This option will log out the current user and bring you back to the login prompt.
