Helpful Guide - Code Mapping

Code Mapping within the ledger is utilized to link an entered Diagnosis Code to the appropriate ICD-9 or ICD-10 Diagnosis Code. This may sound extraneous, but it ensures that the exact Diagnosis is described and referred to correctly on Claims and in other parts of MacPractice.

When Code Mapper displays within the ledger, it is an indication that the codes selected on the Charge does not match your Coding Preference, and need to be mapped to the correct coding type.

Once a patient's record is mapped, it will not need to be mapped again if another feature uses the record in one of the two mapped code systems. However, an individual record map for a single patient will not be automatically reused for all patients with a similar record because each code system has a degree of specificity that may differ from patient to patient.

Code Mapping When Entering a New Charge

Currently, old diagnoses need to be updated to ICD-10 codes to be used in most claims. MacPractice will prompt to update ICD-9 codes automatically when entering in a new charge if you have a ICD-9 code set to pull from the Patient's Problem List, or an ICD-9 code is tied to a procedure code in References > Fee Schedule.

If a gray triangle icon appears on the left side of the diagnosis code to expand options and unlock a link that will give you more information about when that particular code. Click on the "more... " link to see the code's information as it was originally entered.

"Skip and do not include" will skip this code until the next charge is entered in the patient's ledger.
MacPractice will auto-select equivalent codes as a potential solution. If you want to manually pick a code to utilize instead, the Choose Other option will allow the biller to select another code from the ICD-10 hierarchy.

When selecting a code, there is a checkbox in the upper right corner of the Code Selector Window labeled "Enable ICD9 Helper". The ICD9 Helper is a useful tool to find an ICD-10 code by entering/selecting an ICD-9 code. Once an ICD-9 code is selected, a list of all the potential ICD-10 substitutions will be displayed.

You can have "Enable ICD9 Helper" checked automatically by going to the MacPractice menu > Preferences > Coding > Check "Enable ICD9 Helper by Default".

MacPractice will then display the final selection in the code mapping window.

Once the code has been mapped, MacPractice will include the code under the Diagnosis tab within the Charge Window.

Diagnosis Code System in Claim Creation Window 

If the diagnosis code system on the selected charge does not match what has been selected in the Claim Creation Window, the Claim Diagnoses column under the Procedures Tab will show "Not Mapped" in red.

When this happens, you have a few options to fix this: 

Update Diagnosis Code System

If the codes under the Charge Diagnoses column are correct and you want them to show on your claim, select the Diagnosis Code System that matches those codes (i.e: "ICD9CM" or "ICD10CM").

Once you do this, the Charge Diagnoses and Claim Diagnoses column should match, you can then choose "Ok" on the claim creation window and send/print the claim as you usually would.

Map the Codes

If the codes under the Charge Diagnoses are correct, but you need to map the code to a different system, click "OK" on the Claim Creation Window. 

MacPractice will then alert you that a claim cannot be created until the codes are mapped, click "Open Charges".

Next, the Charge window will open, you may need to select "Map Diagnosis" button to open the Code Mapper window as well. Once there, use the left side of the window to choose the correct codes. 

Some codes will have suggested maps available. When only one suggestion is available, it will be automatically selected. Otherwise, manually select a code when adequate suggestions aren't available.

Diagnosis codes will turn blue once they have been mapped to their interrelated code. Once each code is mapped, click the Done button to dismiss the Code Mapper.

Once that is done, once again select the charges and create a claim as you usually would.

Do not Include

You may choose to not include these diagnosis codes on the claim at all. To do this, you can open the charge and uncheck the codes under the Diagnosis tab. Once you are finished, click "Save" at the bottom right.
