Account Pull Fields

All non-financially related pull fields listed below (name, contact info, demographics, employer info) will pull from wherever the statements are directed to go, as specified in the Patients Ability > Account tab > Where To Send Statements. All pull fields that represent a monetary amount do not include a dollar symbol ($) - this will need to be manually added to the left side of the pull field.

The following pull fields will pull from either the Primary or Secondary tab, depending on which is selected to receive statements in the Account tab. For this document the term Guarantor is used to refer to the person selected to receive statements. If a specific field is not noted, the name of the pull field is the same as the name of the field in the Primary or Secondary tab.

  • Name: Guarantor's full name (first name, middle initial with a period, and last name)

  • Prefix: Guarantor's prefix

  • Suffix: Guarantor's suffix

  • Last Name: Guarantor's last name

  • First Name: Guarantor's first name

  • Middle Name: Guarantor's middle name

  • Street Address: Guarantor's street address

  • Suite: Guarantor's suite

  • City: Guarantor's city

  • State: Guarantor's state

  • Zip Code: Guarantor's zip code

  • Home Phone: Guarantor's phone number associated with the Home phone pop-up button as entered in one of the phone fields

  • Work Phone: Guarantor's phone number associated with the Work phone pop-up button as entered in one of the phone fields

  • Other Phone: Guarantor's phone number associated with the Other phone pop-up button as entered in one of the phone fields

  • Mobile Phone: Guarantor's phone number associated with the Mobile phone pop-up button as entered in one of the phone fields

  • Date of Birth: Guarantor's DOB as entered in the Birth Date field. It will be formatted based on the MacPractice Preference > Notes >Format Date As.

  • SSN: Guarantor's social security number

The Employer pull fields pull from the Employer table on the Guarantor's record. 

  • Employer Name: Employer's name

  • Employer Address: Employer's street address

  • Employer Suite: Employer's suite

  • Employer City: Employer's city

  • Employer State: Employer's state

  • Employer Zip Code: Employer's zip code

The Account Balance pull fields will pull the balance for all patients on the account, not only the patient associated with the note. For example, a family account with two children, one of whom has a balance of $20.00 and the other $60.00, will pull an Account Balance Total of $60.00, regardless of the patient the note was created for.

  • Account Balance Current: Account balance that has been outstanding between 0-30 days

  • Account Balance 30 Days: Account balance that has been outstanding between 31-60 days

  • Account Balance 60 Days: Account balance that has been outstanding between 61-90 days

  • Account Balance 90 Days: Account balance that has been outstanding between 91-120 days

  • Account Balance 120 Days: Account balance that has been outstanding between 121-150 days

  • Account Balance 120 Plus Days: Account balance that has been outstanding more than 120 days (121 days or longer)

  • Account Balance 150 Plus Days: Account balance that has been outstanding more than 150 days (151 days or longer)

  • Account Balance Total: Account balance, regardless of aging

  • Account Balance Total with Credit: Total account balance regardless of aging, minus the total unapplied amount posted to the account.
    For example, if the total account balance is $100.00 and total unapplied balance is $25.00, the amount displayed in the note will be $75.00.

  • Account Balance Patient Portion: Total patient portion balance on the account, regardless of aging

  • Account Balance Insurance Portion: Total insurance portion balance on the account, regardless of aging

  • Account Balance Days Overdue: Age of the oldest balance on the account

  • Last Insurance Payment Amount: Amount of the last insurance payment that was posted to the account (even if the payment remains unapplied)

  • Last Insurance Payment Date: Posted date of the last insurance payment made to the account

The Last Account Payment pull fields will pull information for either the most recent patient payment or negative adjustment. Insurance payments are not account-level transactions, as they are posted to a specific patient's claim and are excluded from this pull field's data.

  • Last Account Payment Amount (w/ Adj): Amount of the last credit that was posted to the account. This could either be a negative adjustment or a patient payment.

  • Last Account Payment Date (w/ Adj): Date that the last credit pulled in from the above pull field was posted to the account.

  • Last Account Payment Amount (No Adj): Amount of the last patient payment that was posted the the account.

  • Last Account Payment Date (No Adj): Date that the last patient payment pulled in from the above pull field was posted to the account.

  • Accounting Alert 1-8: These will pull up to eight alerts in the order they were added in the Patients Ability > Account tab > Accounting Alert.

  • Financial Status: Account's Financial Status (as listed in the Account tab)

  • Percent Discount: Percentage discount as it is entered in the Percent Discount (%) field on the Statement Information tab

  • Installment Amount: Installment amount entered in the Installment Amount field

  • Installment or Balance Amount: This will pull the account balance or the installment amount, whichever is less. If the installment amount is less than the account balance, the installment amount will be displayed. The balance will also account for any unapplied amount on the account - if the total account balance is $175, the installment amount is $150, but the unapplied balance is $90, $85 will be pulled in to the note representing the balance, not the $150 installment amount.

  • Previous Account Number: Account's previous ID number, as entered in the Previous Account field.

The balance fields will pull the balance for the selected patient only; other patients' balances on the account will not be included.

  • Balance Current: Total balance that has been outstanding 0-30 days

  • Balance 30 Days: Total balance that has been outstanding 31-60 days

  • Balance 60 Days: Total balance that has been outstanding 61-90 days

  • Balance 90 Days: Total balance that has been outstanding 91-120 days

  • Balance 120 Days: Total balance that has been outstanding 121-150 days

  • Balance 120 Plus Days: Total balance that has been outstanding longer than 120 days (121 days or longer)

  • Balance 150 Plus days: Total balance that has been outstanding longer than 150 days (151 days or longer)

  • Balance Total: Total balance, regardless of aging
